 Job Overview


Provides a variety of complex administrative functions for the Department leaders supporting the primary assigned division and floating to other divisions as required. Is a good critical thinker and can make independent judgments regarding administrative issues. Serves as a resource for internal an external customers.


Organizes work load to comply with deadlines and priorities, works independently to complete routine functions and prepares reports, forms and the like for review by supervisor. Answers phones and processes calls appropriately. Takes clear, concise messages and distributes to appropriate individuals in a timely manner. Cross covers colleagues phones in their absence. Meets and greets customers in person and directs individuals to appropriate area. Notifies department personnel of customer's arrival. Types and edits correspondence, minutes, special reports, confidential documents, patient records and the like. Composes correspondence for departmental leaders as requested. Schedules patients and ancillary testing in accordance with departmental policy. Prepares necessary documents/files in advance of scheduled appointment and confirms appointments if required by department. Completes all necessary registration and billing requirements associated with appointments/procedures. Schedules meetings for department/division. Prepares necessary support documents and makes other arrangements as necessary (i.e.: reserves conference room, arranges catering etc.) Prepares data and reports for department as needed. Completes data entry in timely manner. Establish and maintain department record keeping and filing systems including records related to departmental activities, work orders, supply requisitions and so forth. Receives and routes all incoming and outgoing mail, appropriately prioritizing urgent/important items and assuring timely processing. Maintains current knowledge in areas of responsibility by attending meetings as assigned, incorporating informational memos/e-mails/directives. Responsible for performing all other duties as assigned. Meets all required competencies for department, unit and/or hospital. Special Projects


Work requires a High School diploma or equivalent and two to three years of previous work related experience. Proficiency in MS Office required: Word, Excel, Access, Outlook and PowerPoint. Bilingual preferred. Work requires communication skills needed to frequently answer telephone calls and work with multiple interruptions and still sustain positive communication.
